Refund X-Ray Review and Tutorial – How I got a $459.28 Amazon FBA reimbursement in 15 minutes

What is Refund X-ray?

Refund X-Ray is a software developed by the creators of OAXRAY that is designed to find all possible situations where Amazon may owe you money but you did not get reimbursed. It is a brand new software and once I heard about it I knew I had to try it as I have suspected for a long time that I was probably owed a decent amount of money due to damaged goods, missing returns etc.

Refund X-Ray compares and analyzes your Amazon Seller Account report files and automatically determines which items are eligible for reimbursement. It then outputs a convenient file for you to copy and paste into a support ticket in order to get reimbursed for the issues it found for you. ​

Since I've already went through the steps myself and have seen first hand that it works, I'm going to show you the exact steps I went through in order to get a refund of $459 with roughly only 15 minutes of work. I got that refund credited to my account in less than 12 hours!​

How often should I use it?

Refund X-RAY should be used more often depending on your sales volume. I would say at the minimum twice a year and if you do a good amount of sales on Amazon FBA then I would use it 4 times per year. The cost to use Refund XRAY is only once per year and you can use it as many times as you want during that year.

How much does it cost?

Refund X-Ray is $99 per year, however you can get an extended free 10 day trial which won't cost you a dime. Even if you don't eventually pay for full access, you can STILL get some of your hard earned money back simply by following this short tutorial I'm about to show you right now. ​Click the link where it tells you to begin the free trial. Next you should see a screen like this.

​You will then see a screen that looks like this. Simply enter in the email you wish to use for your login, the paypal email you signed up with, and a password for the new account.

How to use Refund X-Ray - The 'Lost Inventory' Tab

Great, now you are all signed up. You should be at a screen that looks like this:

​Since this is a trial account, you will only have access to the Lost Inventory tab, but that's OK. You can still get some free money back by using just this feature. Let's go through how to use it.

The Inventory Adjustments Report

The first thing you need to do is get your Inventory Adjustments report.​ To do this, simply take a look at the video below which goes over step by step instructions on accessing this report.

Got it? Good. Once downloaded, make sure you rename the report to Inventory Adjustments.txt. This is for organizational purposes and will help a lot down the line. Now let's move on.

The Reimbursements Report

Ok, now we need to download our Reimbursements report. To do that, follow the instructions in the video below.

Once you download it, make sure you rename the file to Reimbursements.txt

Upload the reports

Simply upload both the Inventory Adjustments and Reimbursements text files from the last two steps.​

Filling out the remaining fields

The next field we need to fill out is the Results File Name field. Erase the current contents and put 'LostInventoryMMYY' where MM is the current month and YY is the current year. In July 2016 for example I would put LostInventory0716. This is for organizational purposes and will help out a lot later on.

Next, we're going to ignore Exclude Refunds.

For 'Exclude Items under 45 days', leave this unchecked.

Skip the To Word and To Excel buttons for now and continue to the Rows per Page in Word File option. Set this value to '10'.​

For the Text in Word File textbox, you can simply leave the default text.

If you followed the above instructions correctly, your screen should now look like this.

Once you confirm everything looks good, simply hit the 'To Word' button which will download a .docx file we will use to submit the information to Amazon Support.

But Jim, I don't have MS Word!

Fear not, if you don't have a copy of MS Word you can simply convert the file using an online tool called zamzar.​ Simply follow the link, upload the docx file and convert it to a txt file. It will send the converted file to your email address and you'll be all set to go.

Once you open your docx file, it should look a little something like this (I've blurred some information)

Submitting to Amazon Support

From here all you have to do is open a support ticket for each page in the docx file.

First, click on 'Help'

Now put 'Please investigate' for Contact Reason and under 'Please describe your issue' simply paste the first page from the .docx file you downloaded before. 

Leave your call back number empty as this doesn't require phone contact.

You may want to consider checking 'This issue is urgent and requires immediate attention' if you want your cases handled in a timely fashion. Since you will have several tickets to submit, I do recommend checking this as since this is a situation where you are rightly owed money and I would personally consider that type of situation important.

Repeat the process 

Now simply repeat the process of submitting a support ticket for each new page in your .docx file. I have found that 10 items per support ticket works very well and this ensures a timely response as no one support rep gets too bogged down with many items to research at once. This is the reason we chose 10 when we created our lost inventory file.

Taking things up a notch

If you are ready to take things up a notch and really get all of the money you are owed, the best thing to do is to upgrade your account to the Full Version.

There are two situations where I recommend upgrading to the full version:

  • You make $2000 or more net payout per month from Amazon FBA 
  • You make less than $2000 per month net payout but have NEVER gone through your reports to find the reimbursements you are owed but have not received

Full disclosure: I used ALL 4 tabs in Refund X-Ray to get the full $459 reimbursement. 

Something you might also find interesting is that I've already gone through my reports only a few months ago and got reimbursed back then as well for fees I was owed. What this means is my results of getting $459 back was from a mere 2-3 months of returns, etc. that I was never credited for.​ On top of this, my last few months have actually been very slow compared to last year! I was very suprised I got this much back. 

In fact I was talking to one of the developers of Refund X-Ray Tedric Paulk on facebook and what he told me I couldn't believe. It made my $459 return look like a big nothing burger (and if you've ever talked to Tedric, you know he's not one to exaggerate)

How to use Refund X-Ray - The 'Not Returned to Warehouse' tab

This is the second method Refund X-Ray uses to get you the money Amazon owes you. The steps are essentially the same as the Lost Inventory steps with a few important changes. To get the data needed here, you will need to provide Refund X-Ray with 2 more reports from your seller central account. The 'Transactions Report' and 'Customer Returns Report'

Transactions Report

To download this report, simply follow the instructions in the below video. This is unfortunately one of the more troublesome reports and will take a couple days to generate. Once it's done however, you can continue with the rest of the steps needed. Once downloaded, remember to change the filename to Transactions for organization sake.

Customer Returns Report

This report will show customer returns and is the report needed by Refund X-Ray to get you your reimbursements for the Not returned to Warehouse method. Follow the video below in order to download a copy of yours. Once downloaded, remember to change the filename to Customer Returns.

Reimbursements Report

This is the same report we downloaded for the Lost Inventory tab so we do not need to download it again, but if for some reason you need the instructions once more here they are. Simply upload your Reimbursements.txt file here and you are good to go.​

Finishing up

The rest of the options are almost the same as before but we will run through them real quickly.

  • Results File Name - Set to NotReturnedWarehouseMMYY
  • Exclude items under 45 days old - Leave unchecked
  • Rows Per Page in Word File - Set to 10
  • Text in Word File - Leave the default text

Once you are done, your screen should look like this.

Not Returned to Warehouse

Now all you have to do is click the 'To Word' file to download your Support Ticket text and you are good to go. Follow the same steps as in the above Submitting to Amazon Support section but using the new file and move on to the next section.

How to use Refund X-Ray - The ' Returns over 30 days' tab

Here we are, close to the end of the tutorial with the third feature of Refund X-Ray. Customers that return merchandise OVER the 30 day time allowed time period can and do get reimbursements. However, those reimbursements shouldn't be coming out of your account (but they do.)

This tab will find every time this has happened and conveniently clump them together into an easy to read document that gives Amazon everything they need to further investigate and reimburse you for any capital you are owed. 

Transactions Report

You already started a download on this file in the 'Not Returned to Warehouse' tab (and you should be going in order), but if you need to watch the instructions again here they are. Simply upload your Transactions.txt file here.

  • Results File Name - Set to Returns30DaysMMYY (MM = Current Month and YY = Current Year)
  • Exclude items under 45 days old - Leave unchecked
  • Rows Per Page in Word File - Set to 10
  • Text in Word File - Leave the default text

Now all you have to do is click the 'To Word' file to download your Support Ticket text and you are good to go. Follow the same steps as in the above Submitting to Amazon Support section but using the new file and move on to the next section.

How to use Refund X-Ray - The ' Damaged in Warehouse' tab

Here we are at the home stretch. This is the fourth and final tab of Refund X-RAY and this will find any items that have been Damaged in the Amazon Warehouses but have not been reimbursed.

Inventory Adjustments Report

We already downloaded this when filling out the first tab but if for some reason you didn't go in order or you need the instructions again here they are. Simply upload your Inventory Adjustments.txt file here.

Reimbursements Report

Final Thoughts

I have to admit, when I first heard about Refund X-Ray I was pretty excited because I know all about the quality of work these guys put out (they are the creators of the very popular OAXRAY after all.) However, at the same time I wasn't sure if $99 a year was going to be worth it for what I got back. 

I expected I would run the software and I would end up getting back like $100 or so and I'd end up just breaking even. However the reality was much better than that, and the real benefit of the software is that it can be run multiple times per year. That means my $459 reimbursement will at the very least become $900-$1000+ for an entire years worth of refunds, all for the $99 investment. 

In addition to all that. can we all agree that having access to a software like this is a ridiculous time saver? Comparing reports for potentially years worth of past sales data could take forever, and even then you could still miss things that a well developed, well tested program would not.​

I really don't have anything negative to say about the software after having gone through the steps from start to finish and actually seeing the results in my bank account. I mean, you can't argue with real results (and if you do any reasonable kind of volume on Amazon FBA at all, your results will probably be far more impressive than mine.)​

What makes this software a true no brainer though is that it comes with a free 10 day trial (using the link on this page for my readers only.) The guys at OAXRAY and Refund X-RAY have a proven system of letting their potential customers demo their software and only then do they make the decision whether or not to invest in it and it's been working out tremendously for them so far.
